To beginners in any industry!!

Thought to share my experience so far in this AI Automation journey

I have been using some of these tools already. I wasn’t starting from zero, but I have been reminded constantly why learning from industry experts matters.

It’s not just about the tools. It’s about the thinking behind the tools.

The why before the how. The strategy before the workflow.

That context? You don’t get it from YouTube tutorials. You get it from people who have built, broken, and rebuilt these systems with real clients.

Here’s what’s shifting for me already:

✅I’m starting to see automation opportunities everywhere.
✅A task I used to complete manually? I’m now asking, could this be automated?
✅The way I think about executive support is expanding.

And that’s the point.

This course isn’t just adding a skill to my toolkit. It’s changing how I see the work entirely.

If you are a VA sitting on the fence about investing in AI skills. Get off the fence.

The industry is not waiting for you to feel ready.

What’s one skill you have been putting off learning?

Dear CEO🤗

Zapier is a tool that connects your apps and automates the work that happens between them.

No code. No developer. No manual transfers.

Just seamless, invisible workflows running in the background while you focus on what actually matters.

Here’s what that looks like in a real executive’s world:

▶️Your inbox triggers your CRM
A new client emails you. Zapier automatically creates a contact in your CRM, tags them, and notifies your Executive VA without anyone lifting a finger.

▶️Your forms feed your Airtable database
A lead fills out your enquiry form. Zapier instantly logs their details into Airtable, organised exactly the way you need it. No copy-pasting. No missed entries.

▶️Your calendar drives your team
A meeting gets booked. Zapier automatically sends a briefing reminder to your EVA, creates a prep task in your project management tool, and sends a confirmation to the attendee.

✅All of that triggered by one action.
✅All of that happening without you.

This is what strategic executive support looks like in 2026.

It’s not just about having someone in your corner. It’s about having someone who can build the systems that make your business run even when nobody is watching.

That’s the Executive VA I am and that’s the standard I bring to every client I work with.

I’m Adebola, a professional Executive VA. I help executives build backend operations that are organised, automated, and built to scale. If that’s what your business needs — DM me.

What’s one task in your business you wish happened automatically? I look forward to reading from you.

It took only one Zap😳?

I just automated an entire event registration process for a client.

Here's the breakdown of what I built

𝟭. Guest registers via Google Forms
𝟮. Formatter cleans the phone number automatically
𝟯. Formatter splits and capitalizes their name
𝟰. Filter blocks anyone under 12
𝟱. Airtable checks for duplicate registrations
𝟲. Team gets notified instantly on Slack
𝟳. VIPs get routed to exclusive channels based on plus one status
𝟴. Every record is logged in Airtable with timestamp and CRM status

Before this automation:
❌ Manual data entry
❌ Duplicate records everywhere
❌ Messy phone numbers and inconsistent names
❌ Team notifications sent one by one

After this automation:
✅ Clean, structured data every time
✅ No duplicates ever
✅ VIP guests handled automatically
✅ Real-time team alerts on Slack
✅ Full registration log in Airtable

This is the power of no-code automation.

You don't need a developer. You don't need to code. You just need the right tools and the right knowledge.

I’m Adebola, an Executive VA specialising in helping founders and executives build backend systems that protect their time and their bottom line. I’m a DM away

I just saved a client hours of manual work every week with one Zap.

They were running a premium event in Lagos. Guests register via Google Forms. The team was manually checking for duplicates, copying data into Airtable and sending Slack updates by hand.

I automated the entire workflow in one afternoon.

Here's the system I built;

𝟭. Google Forms captures the registration
𝟮. A filter removes invalid entries (underage, missing email)
𝟯. Airtable is searched to prevent duplicate records
𝟰. A new record is created only for valid, unique registrants
𝟱. The team is instantly notified on Slack

The impact:

✅100% automated — no human intervention needed
✅Clean, duplicate-free database
Reduced wasted task credits with smart filtering.
✅Real-time team notifications

No code. No developers. Just smart automation.

This is what I do, I help businesses eliminate repetitive tasks and build systems that work while they sleep.

DM me if you want something like this built for your business.

Nobody talks about how much a disorganised inbox actually costs.

Not in feelings but In money.

Let me break it down.

The average executive spends 2.5 hours a day managing email. That’s 12.5 hours a week. 50 hours a month.

Now, what is your hour actually worth?

If your time is valued at $200/hour, that’s $10,000 a month spent sitting in an inbox.

Not selling.
Not leading.
Not building.

Sitting. In. Email.

And it gets worse.

Because a disorganised inbox doesn’t just steal time. It steals opportunities.

The partnership email buried under newsletters.

The investor follow-up that needed a response within 24 hours.

The client question that sat unanswered for 4 days and quietly walked away.

These aren’t hypotheticals. They happen every single day to executives who are too busy running their business to notice what’s slipping through the cracks.

Here’s what a well-managed inbox looks like in the hands of a strategic EVA:

✅A filtering system that separates urgent from important
✅Template responses for recurring enquiries
✅A daily briefing so you only touch what actually needs you
✅Zero unread emails older than 24 hours
✅A paper trail that’s searchable, organised, and never loses anything

Your inbox is not just a communication tool.
It’s a revenue channel.

Treat it like one.

I’m Adebola, an Executive VA specialising in helping founders and executives build backend systems that protect their time and their bottom line. DM me if you’re ready to fix this.

How many unread emails are in your inbox right now? Be honest 😄👇🏽

On the move✈️

Yesterday we had our first class as we began our journey into Zapier.

We started with the basics — Zap anatomy, and how triggers and actions actually work together.

Then things got interesting. We spent time calculating task consumption per Zap, diving into Task History, error tracking, and how to read logs so you can truly understand what's happening behind the scenes when a Zap runs.

From there, we moved into multi-step Zaps and how your plan (free vs. paid) affects how many steps you can build per Zap something I didn't think about before but makes a real difference in what you can automate.

We also got a quick introduction to Zapier's broader ecosystem: Zaps, Tables, Interfaces, Canvas, Agents, and Chatbots. The tool is way bigger than I expected.

For the next two weeks, I’m going to be learning, experimenting, and building as we go and I'm really looking forward to it.

Have you used Zapier before? I'd love to hear what you've built with it.

Not all VA niches are created equal.

And in 2026, the market is making that very clear. If you have been wondering where the real opportunities are, here are 3 niches that are paying VAs well right now:

1️⃣Executive Support / C-Suite EA
Founders and executives are busier than ever and they need support that thinks, not just executes. EVAs who can manage high-level operations, communications, and strategy are commanding premium rates. This is not entry-level VA work and the pay reflects that.

2️⃣Launch Support VA
Course creators, coaches, and online business owners launch constantly and launches are chaotic without the right support. A VA who understands launch sequences, tech setup, affiliate management, and post-launch wrap-up is invaluable. And she gets hired again. And again.

3️⃣Systems & Automation VA
Businesses are drowning in repetitive tasks they don’t know how to automate. A VA who can build workflows in tools like Zapier, Make, or Notion, and document everything cleanly is solving a painful, expensive problem. That kind of skill commands serious rates.

The common thread? Specialisation. Results. Strategy.

These aren’t task-doers. They are problem-solvers. And the market pays accordingly.

If you are still offering everything to everyone, this is your nudge to pick a lane.

Which of these niches speaks to your strengths?

I could have kept winging it. Instead I’m doing this.

I’m starting my AI Automation course with Koka Academy Ltd And I’m documenting every step of it right here.

Monday was onboarding.

Today the real work begins. I’ll be honest, I signed up with a mix of excitement and a little bit of “okay Adebola, you are really doing this.”

But that feeling? I have learned to trust it.

✅It’s the same feeling I had when I left banking to become a VA.

✅The same feeling I had when I started coaching other VAs.

✅The same feeling when I launched my YouTube channel and it got monetized with 5months.

✅The same feeling I had when I learned AI video creation from scratch.

And every single time, on the other side of that feeling was growth.

So here I am again. Student mode. Fully in and staying locked in🔐.

➡️Why AI Automation?

Because the executives and founders I support are running complex, fast-moving businesses and the future of high-level executive support isn’t just organisation and communication.

It’s building systems that think, move, and operate without constant human input.

An EVA who understands automation doesn’t just save her client time. She builds infrastructure that scales with them.

Now here’s the thing, I’m not coming into this completely cold. I have already been working with some of the tools we’ll be covering. But knowing a tool and being taught by someone who has mastered it are two very different things.

I want the depth. The hands-on experience.
The real-world context that only comes from people who have been in the trenches with these tools and built with them at a high level.

That’s what Koka Academy Ltd brings. And that’s exactly what I came for.

For the VAs reading this, this is your reminder that the best investment you will ever make is in yourself.

Not when you feel ready.
Not when you have more money.
Not when things slow down.

Now.

The industry is moving fast. The VAs who keep learning are the ones who will keep winning.

I’ll be sharing updates as I go. The wins. The confusing bits. The lightbulb moments.
Follow along, this is going to be a good one. I need all the encouragement from you too.

I’m Adebola, an Executive VA and VA Coach with 4 years of experience. I help executives reclaim their time and I help VAs build careers worth being proud of. And I never stop evolving!

Are you currently investing in a new skill? What are you learning? I look forward to reading from you.

Adebola Ademola | VA Coach

Last month, I decided to learn something completely outside my comfort zone.

AI video creation.

Not because someone told me to.

Because I saw where things were going and I wanted to be ahead of it, not catching up to it.

So I enrolled for a course & started learning. Experimenting. Making mistakes. Trying again. Tools like Veo 3, HeyGen, Synthesia, Openart, Kling, and Higgsfield became part of my world.

And what started as curiosity quickly became a skill I could offer, monetise, and build on.

Here’s what I learned along the way:

➡️AI video creation is not just for content creators.

➡️It is for every VA who wants to future-proof her services.

➡️It is for every executive who wants to scale their message without being on camera every day.

Think about what’s possible:

✅A founder records herself once and that footage becomes 10 personalised video messages to different clients.

✅A coach creates an onboarding video in minutes without a studio or a camera crew

✅A VA adds AI video production to her offer stack and doubles her rates overnight

✅A brand creates spokesperson videos in multiple languages without hiring multiple people

This is not the future. This is now.
And the VAs who are learning these tools today are the ones who will be impossible to ignore tomorrow.

I started with zero experience in video.
No design background. No production knowledge. Nothing! Just curiosity, consistency, and a willingness to figure it out.

If I could learn it, so can you!

And if you are an executive or founder reading this, the question isn’t whether AI video is relevant to your business. It’s whether the person supporting you knows how to use it.

Send a DM whether you are an executive looking for forward-thinking support, or a VA ready to add a high-income skill to your toolkit.

Have you explored any AI video tools yet? Do you have plans to learn now or in the future?

PS: One of the videos I created for a client below.

Here is it

Nobody talks about what a great Executive Virtual Assistant actually protects you from.

Everyone talks about what she does.

The calendar. The inbox. The travel. The follow-ups.

But the real value? It’s in what never reaches you.

Here’s what a strategic EVA is quietly protecting you from every single day:

1️⃣Decision fatigue
Every small decision you make drains the same mental energy you need for the big ones. Your EVA absorbs the small ones so you show up to the important decisions sharp, not depleted.

2️⃣Reactive days
Without support, your day is built by whoever emails you first. A great EVA builds your day around your priorities not other people’s urgencies.

3️⃣Dropped relationships
The follow-up that never happened. The birthday that passed. The partner you meant to check in with. She remembers what you can’t afford to forget.

4️⃣Bottlenecks disguised as busyness
Sometimes the reason your business isn’t moving isn’t strategy, it’s that you’re too buried in operations to lead. She clears the path.

5️⃣The Sunday dread
That feeling of carrying everything into the weekend. The mental list that never switches off. A great EVA means Monday has a plan and Friday has a close.

You don’t just hire an EVA to get things done.

You hire her so the right things get done and everything else gets handled.

I’m Adebola, an Executive VA helping founders and executives operate at their highest level.

If you’re ready for that kind of support, send me a DM.

What’s the one thing you wish someone would just handle for you? Drop it below 👇🏽
